Most fourth grade presentations require students to put together a series of facts and assemble them in logical order. Presentations are similar to essays but usually require less writing, due to their bullet-point nature. In many cases, presentations are given orally in the form of a speech or slide show. If you must create a slide show presentation, use PowerPoint or download a free slideshow application from the Internet.

Review the prompt for your presentation. What is the suggested topic? Does it specify a time limit? Does it explain that you must use note cards and posters or create a slideshow? If you are able to use any format, decide whether you want to use a digital or hard-copy format.

Research your topic using reference books or the Internet. If your presentation is about a specific book, read the book thoroughly. Create a list of facts and ideas for your presentation. For example, if your presentation is about Mexico, write down each new fact you learn about Mexican history.

Write the thesis of your presentation. Determine what point you are trying to make with your essay. For example, your essay on Mexico may assert that Mexican food and artwork has greatly influenced American culture.

Outline the main points in your presentation. For example, a presentation on the country of Mexico might include four sections, each one dealing with a different aspect of the culture, such as: history, art, food and geographic location.

Write the introduction. Include an interesting fact about the topic and any necessary background information. If writing about a book, include the name of the author and publication date. If writing about Mexico, you might include the date it was founded or an interesting fact about Mexican holidays. If you are writing a slide show or oral presentation, you might wish to make each fact a bullet point rather than writing in sentence form.

Place the thesis at the end of the introduction.

Complete the different points of your presentation. Write several facts and ideas for each major point. You might wish to include each point on a separate slide, if you are creating a slideshow.

Add visuals to your presentation. You might wish to print out images from the Internet, add clip art to a slide show, create a drawing or bring a physical example, such as a book or piece of art.

There are multiple features that are available in MS PowerPoint which can customise and optimise a presentation. The same have been discussed below.

  • Slide Layout

Multiple options and layouts are available based on which a presentation can be created. This option is available under the “Home” section and one can select from the multiple layout options provided.

You must have heard about the MS PowerPoint. Do you know what MS PowerPoint is? In this chapter, you will study about the MS Power Point. It is the part of MS Office 2007, which is a complete software package developed by Microsoft. What Is PowerPoint? Microsoft PowerPoint 2007 is a popular word processing software. It is a part of MS Office. It is mainly used to create attractive presentations for your project. It is a tool for the creation of linear presentations that contain images, sounds, animations and transitions. How to Start MS PowerPoint Step1 : Click on start menu Step2 : Go to all programs Step3 : Go to Accessories Step4 : Click MS office Step5 : Click on MS office PowerPoint 2007 MS PowerPoint windows appears.

MS PowerPoint Screen A default MS Power Point screen has the following components, as shown. Title bar: The title bar is present at the top of the MS PowerPoint windows. It displays the name of the current Presentation. It also contains Minimize, Maximize and Close button. Quick Access Toolbar (Standard and Formatting bar): Quick Access toolbars is present on the title bar. It contains buttons for quick access to commonly used commands. It has save, undo, redo buttons.

It gives information about the number of the current slide, the total number of slides and other details about the slide that is on-screen at the time. Ribbon It contains two parts namely tabs and groups. Each tab contains commands which are arranged in different groups. Rulers These are vertical and horizontal guides. You see them and determine where you want to place an object. File tab It contains different means to work in MS PowerPoint 2007.

Place holder Place holder holds the objects in your slide. You can hold text, pictures, charts etc. by using place holder. Slide It represents a page in MS PowerPoint software.

MS PowerPoint 2007 offers different ways to create a new presentation:

  • 1. Blank and Recent
  • 2. Installed Templates
  • 3. Installed themes
  • 4. My Templates
  • 5. New from existing

Creating a Blank Presentation The steps to create a blank presentation are:

  • Click on the Office button.
  • Click the New option.
  • Click the Blank Presentation option.
  • Click Create button.
  • A blank slide is displayed, on the screen with two placeholders.
  • To enter text in the placeholder, click within it. A text box appears. Type in the text and after finishing, click outside the place holder.

The steps to save a presentation are:

  • Click the file tab option.
  • The Save As dialog box appears.
  • Type the File name and click the Save button.
  • By default, MS PowerPoint saves a file with the extension ppt.

To View a Slide Show Now you know how to create a slide and to insert a new slide. You can prepare a series of slides in this manner, which may highlight the steps to a process or explain the results of an experiment. MS PowerPoint gives you the option of combining the series of slides which is called a slide show. In a slide show all the slides in your presentation are displayed one by one on full screen. A slide show is a very useful tool for teaching, sharing, learning and presentation in different fields. To run a slide show, you can do any one of the following: Select Slide Show View Show OR Select View Slide Show OR Press F5.

Information can be displayed using an electronic presentation application. This information is usually presented as a slide show — the data is displayed on a slide that may be viewed on a computer monitor or projected onto a screen using an LCD projector. A presentation might consist of multiple slides that are exhibited one after the other. The presentation tool in MS Office is MS PowerPoint. Microsoft PowerPoint is a popular presentation application, although there are alternatives such as Corel Presentations OpenOffice.org, Impress, etc. 

Three major components of a presentation program are: 

(i) An editor that allows text to be input and formatted  (ii) a means for inserting visual pictures, audio, and video  (iii) and a slide-show system to display the final content.

How to open MS PowerPoint

In Windows 8/above:

Step 1: Press Windows + c to open the search bar

Step 2: Type PowerPoint & click on the MS Office version you are having in your system. MS Office window will pop up.

In Windows 7 or below:

Step 1: Go to the program section in the windows start menu. Step 2: Go to MS Office & click on it. A drop-down list is seen Step 3: Click on MS PowerPoint & MS PowerPoint window will pop up.

Creating a Presentation

Once your MS PowerPoint Window pops up, you can create & save the file by:

Step 1: Click on the Microsoft button on the top left.

Saving a Presentation

Once you have created a presentation, it can be easily saved with the help of following steps:

Step 1: Click on the Microsoft icon

Step 2: Click on the Save button

Step 3: A new Window for Save As will pop up.

Step 4: Select the drive (by clicking on it: Example: Local Drive (D)) in which you want to save the presentation. Then your drive will open up, select the folder in which you want to save the presentation (Example: img folder here) & then give the required name to your presentation (Example: MyPresentation here). Your presentation is created & saved with the provided name.

Basic Elements of a PowerPoint Window/Slide

You can see various bars in the presentation window. They are:

(i) Title Bar: This shows the name/title given by you to the current presentation. If user do not save the presentation by any name, default name given by MS PowerPoint appears in this bar. (ii) Menu Bar: Contains menu items like insert, views, design, animations, etc. (iii) Office Button: MS Office button on the left-most top. (iv) Formatting Toolbar: Have tools like Bold, Italic, Underline, Font shape & size etc. to format your data.

(vii) Notes Pane: This allows us to type notes that we may require later when preparing for the presentation, but they will not be displayed during the slide show. (viii) View Buttons: Provides different views of your presentation like : normal, slide show & slide sorter. (ix) Slide Pane: This is where we type, format, and otherwise design the slide.

Concept of Slide Shows

After preparing the presentation, it’s time for the slide show. Steps for slide show are:

Step 1. Click on the view Option on the top Menu Toolbar Step 2. Click on the slide show option.

Step 3. The slide show will start (Press Esc key (escape) to come out of slide show)

Note: Shortcut for the slide show is: F5

Question 1. How to print a Presentation through an attached printer?

Step 1: Click on the Microsoft icon Step 2: Click On Print & a window for Print & Preview the document will pop up. Step 3: Click on Print . Then a window for Print will pop up. Step 4: Select the printer by which you want to take out print of the document.  Select the page range (Print of all or some or current page) & number of copies you want. Step 5: Click on OK. Note: Shortcut for print is Ctrl + p.

There are three methods you can use to screen share a PowerPoint presentation in a Zoom meeting. If you have dual monitors, you can share a slide show while viewing the presenter's notes on another monitor. If you have a single monitor, you can also start the slide show in a window so you have access to other meeting features while sharing your presentation. 

If you have other participants presenting portions of the PowerPoint, you can give them slide control in Zoom, so that they can control the slideshow on their end, without needing to ask you to move the slides forward. Additionally, PowerPoint slides can be shared as a Virtual Background for a more immersive sharing experience.

Dual monitors with slide show and presenter's views

Single-monitor setup with slide show view in a window, single-monitor setup with slide show in full screen.

Follow these steps if you are using multiple monitors and want to present your PowerPoint in one monitor, while viewing the presenter's notes in another monitor.

  • Open the PowerPoint file you want to present.
  • Start or join a Zoom meeting.

  • Select your primary monitor then click Share . If you are not sure which monitor is your primary, select the one that PowerPoint opens in.

  • Switch back to Powerpoint and click the Slide Show tab.

Follow these steps if you have a single monitor and want to share your PowerPoint presentation in slide show view, but have it contained in a window rather than in full screen. This is useful if you need to access meeting features, such as in-meeting chat or managing participants, while sharing your PowerPoint presentation.

  • Click the Slide Show tab and then select Set Up Slide Show .
  • Under Show type , select Browsed by an individual (window) and then click OK .

Note : Be sure you select the PowerPoint window, not the entire screen. Sharing the PowerPoint window only will allow you to use other features without interrupting the view of the presentation.
